PracticeStacks vs CAGos: CA Practice Management Software
Comparing PracticeStacks and CAGos for your CA firm? Discover how these practice management tools differ in pricing, lead generation, and workflow automation.

It is 9 PM on a Thursday, and a partner at a 12-person CA firm in Pune has two tabs open.
One is CAGos. The other is PracticeStacks. Both promise to end the WhatsApp-and-Excel mess. Both offer a 14-day free trial. Both say they are built for Indian CA firms. She has spent forty minutes on each home page and is still no closer to a call. The real question is not which one has more features. It is which one changes how the firm runs next Monday morning.
If you are comparing CA practice management software or CA office management software, that is the question that matters.
That is the point of this comparison, and it includes where CAGos is the better fit.
The quick answer
CAGos is a day-to-day client-ops platform. Once a prospect becomes a client, CAGos gives you a CRM profile, a deadline calendar, GST billing with UPI/Razorpay, a Kanban workflow engine, HRMS, and an encrypted vault with e-signature. It is priced by firm size, from ₹2,499 to ₹9,999 a month, and it scales from solo firms to larger teams.
PracticeStacks is built around the full client path: Win → Onboard → Deliver → Get Paid → Grow. It starts earlier, with a lead pipeline and an AI proposal builder with OTP e-signature, then moves into compliance, billing, and team tools. It is priced more flatly, at ₹749–999 a month for 5 users, with all 12 modules included in both plans.
If your main pain is delivery and compliance for clients you already have, CAGos is worth a hard look. If your pain starts earlier, with cold leads, Word proposals, and signatures that never come back, CAGos does not document that gap, and PracticeStacks is built to cover it.
The 11 PM WhatsApp problem
Most CA firms do not lack tools. They have Tally for books, Word for proposals, Excel for client data, WhatsApp for everything else, and one partner's memory holding the rest together.
That means a firm can have people, process, and five tools, and still not know which leads are cold, which proposals are unsigned, who has not replied in a week, or what is billable this month.
That is not a load problem. It is a visibility problem. And when you compare CA practice management software, the real test is whether the tool closes the gap between process and partner view.
What CAGos does well
Based on CAGos's own pages, its strength is on the day-to-day side of an existing client relationship:
Client CRM gives each client one master profile, with PAN, TAN, GST, billing tier, assigned CA, interaction history, and a client portal for invoices, documents, and queries.
Workflow Engine is a real Kanban system for staff work, with checklists, SLA colour coding, a load view, and an escalation ladder from CA to senior to partner.
Billing & Invoicing creates GST invoices, runs recurring retainer billing, and collects through Razorpay-powered UPI, card, net banking, and NACH links, with WhatsApp and email reminders.
Document Vault offers AES-256 encryption, version control, and IT Act-compliant e-signatures for engagement letters, audit reports, and NDAs.
All plans include every module from day one. CAGos says there are no feature paywalls, and the plans mainly split by client and staff limits and by support level.
For a firm whose client list is stable and whose main pain is delivery and billing discipline, that is a credible, well-documented stack.
Where the workflow really differs
Map both products against Win → Onboard → Deliver → Get Paid → Grow, and the gap becomes clear.
Win: lead to signed engagement
PracticeStacks has a visual lead pipeline with lead scoring and automated follow-ups. That feeds a proposal module with branded templates, an AI draft based on the lead record, and OTP-verified e-signature with an audit trail. Its own numbers say a proposal can be built in about 6 minutes instead of about an hour in Word.
CAGos's public product line does not list a lead pipeline or a proposal builder. Its Client CRM starts with import your client list, which assumes the relationship already exists. The closest pre-engagement tool it documents is Proforma & Quotations inside Billing, which lets a firm send a quote and turn it into a tax invoice on approval. That is useful, but it is still a billing quote, not a tracked sales proposal with a lead-scoring pipeline behind it.
Onboard: KYC and compliance set-up
PracticeStacks documents a structured onboarding flow with a document checklist, KYC collection, government registrations, and compliance tasks auto-mapped from the signed proposal. The flow ends with 11 compliance tasks created, owners assigned, and the client portal live.
CAGos's onboarding is CRM-first. You import a CSV, tag each client with a primary CA and billing tier, and the system auto-creates recurring tasks and compliance schedules from that tag. Both approaches work. PracticeStacks is a client-facing intake flow with document collection built in, while CAGos is closer to firm-side data entry and sorting after the relationship starts. As documented, CAGos does not describe a client-facing KYC or document-upload step at this stage, although its Document Vault does let clients upload files once it is set up.
Deliver: compliance and task execution
Both products track GST, TDS, and ROC deadlines, and both have strong task systems. CAGos's Kanban board with SLA colour coding and escalation ladders is arguably more polished on compliance work than PracticeStacks' card-and-table view with executor and reviewer roles.
This is the closest the two get in documented capability. PracticeStacks adds WhatsApp automation across a wider surface, including lead follow-ups, onboarding nudges, attendance punch-ins, reimbursement approvals, and task mentions. It also has a paid Notice Management add-on that tracks GST, Income Tax, TDS, and MCA notices synced from government portals to a filed response. CAGos's public pages do not currently describe a dedicated notice-tracking workflow.
Get Paid: billing and collection
CAGos has the clearer edge here. It documents native Razorpay integration with UPI, card, net banking, and NACH links inside invoices, with auto-reconciliation.
PracticeStacks documents GST-compliant invoicing, recurring billing, and one-click invoicing from an approved proposal. But on the features page, it does not document a built-in payment gateway or UPI link. If embedded collection matters to your firm, confirm that directly with PracticeStacks before you decide.
Grow: visibility across the firm
PracticeStacks documents a Virtual Manager Dashboard and a Reports & Analytics module that pull from the full life cycle, including leads, proposals, onboarding, compliance, and billing. It also has a beta AI Assistant that answers plain-language questions from firm data and can turn old diaries or Excel registers into tasks, with every AI-suggested change needing a manual Confirm.
CAGos documents a Revenue Analytics dashboard tied to billing, plus a general reports dashboard and exports by plan tier. It does not document a cross-life-cycle view that includes leads and proposals, because those stages are not part of its public scope.

Where CAGos has the edge
To be fair, CAGos has some real strengths:
Payment collection is more built out. Native Razorpay with UPI and NACH links inside invoices is a real win if collections matter.
HRMS is a named product. That is more specific than a folded-in team module if you care about payroll and leave for a larger staff.
The Kanban board is strong for daily triage. SLA colour coding and escalation are very useful for compliance work.
The plan structure is simple to scale. It starts with client and staff caps, so firms can pay more only when they grow.
Who should choose which
Choose CAGos if your client list is mostly fixed, your pain is task execution and collections for clients you already have, you want a dedicated HRMS, and Razorpay-native payment links matter more than a lead pipeline.
Choose PracticeStacks if leads and proposals are the real bottleneck, prospects go quiet, Word proposals slow you down, and you want one flow that covers lead, onboarding, delivery, billing, and renewal without re-entering data.
Neither answer is about which platform has more features. It is about where your firm's blind spot is.
A practical takeaway: the evaluation checklist
Before you sign up for any CA practice software, ask the vendor to show you, live, not in a deck:
A lead or prospect that has not converted yet.
A pending proposal and who opened it.
A client mid-onboarding, with progress and blockers.
One task from creation to close, with every handoff.
One invoice, linked to the work that created it.
One client due for renewal next month.
One item that needs partner attention today.
If a vendor cannot show you all seven live, you have found the gap.
FAQs (Frequently Asked Questions)
Q: How should a firm decide whether its bottleneck is pre-onboarding or post-onboarding? A: If partners are mainly losing track of prospects, unsigned proposals, follow-ups, and renewals before work begins, the bottleneck is pre-onboarding. If the firm already has a stable client base and mainly struggles with tasks, compliance deadlines, documents, billing, and payments, the bottleneck is post-onboarding.
Q: Why does this article focus on life-cycle coverage instead of feature counts? A: Because CA firms usually do not fail from a lack of tools. They fail when the tools do not connect the steps of work. The key question is whether the software lets a partner see the whole flow from lead to proposal, onboarding, delivery, billing, renewal, and escalation without jumping between Excel, WhatsApp, and memory.
Q: What should a firm verify in the free trial before choosing? A: Ask the vendor to demo live workflows with real-looking firm data: a cold lead, a pending proposal, a client mid-onboarding, a task from start to close, an invoice tied to work done, a renewal due next month, and a dashboard item that needs partner attention today.
Q: Is CAGos a weaker product because it does not document lead and proposal management? A: Not necessarily. It is a strong fit if your work starts after the client relationship already exists. It is only a weaker fit if your main pain starts before onboarding.
Q: What is the biggest daily difference for a partner? A: PracticeStacks is built for full-life-cycle visibility. CAGos is built more around client work after onboarding, with strong visibility into compliance, billing, collections, HRMS, and documents. The better choice depends on whether the partner needs visibility before the client signs, or mainly after delivery begins.
Q: Is CAGos the same kind of tool as PracticeStacks? Both are CA practice management platforms for Indian firms, and both cover compliance, billing, and task management. The difference is scope. CAGos is documented from onboarding through delivery, billing, and HR. PracticeStacks starts one stage earlier, with leads and proposals.
Q: Does CAGos have lead management for prospects? Not as a named, documented product. Its CRM is built for clients who are already on the books, not for cold leads.
Q: Does CAGos have proposal or engagement-letter software? Not as a dedicated proposal builder. It has Proforma & Quotations in Billing and e-sign in the vault, but not an AI-assisted proposal flow with a sales pipeline behind it.
Q: Which one is better for payment collection? CAGos, based on current documentation, because it has native Razorpay with UPI, card, net banking, and NACH links inside invoices. PracticeStacks documents billing, but not the same built-in payment flow on its features page.
Q: Which one is cheaper? It depends on how you price the firm. PracticeStacks is flatter per month and includes 5 users. CAGos prices by client count and staff size, so the better deal depends on your scale.
Q: Does either platform offer a free trial? Both say they offer a 14-day free trial with no credit card. PracticeStacks also lists a 30-day money-back guarantee. One CAGos page says 30 days, so confirm that directly before you sign up.
Q: Is CAGos ICAI-compliant? Its FAQ says it stores data in Indian data-center regions, keeps an immutable audit log for ICAI peer review, and uses role-based access control. It does not claim a formal ICAI certification on its public pages.
